Update to How We Pay Cooperative Teacher Payments and Educational Stipends

Cooperative Teacher Payments

  • Host teacher payments for this semester already being paid via prepaid cards can continue to use prepaid cards until the end of June (meaning you have an existing group of payees in Prepaid Technologies, and you just need to add funds to their cards or add a new payee to that existing group of payees). If you will be paying those vendors after June, you need to work to get those suppliers registered in time.
  • Host teacher payments after this semester must go through Mountaineer Marketplace – registering the supplier and submitting on the direct pay form.
    • Submit a New Supplier – Non-Employee form in Marketplace and select “Services” as the answer for “What will payment be for?” question.
      • Supplier will then be sent an email invitation to submit their W9 online.
      • If there is a specific reason the supplier cannot submit their W9 through our portal, please email supplierregistration@mail.wvu.edu to discuss. W9’s for individuals cannot be emailed or attached to a requisition in Marketplace.
    • Once registered and ready to be paid, you will submit a Direct Pay form for each supplier.
      • A Pdf invoice is not required. We will just need something attached that we can use to compare the supplier name, address, and amount. For example, if you are paying 10 teachers, you can submit all 10 on the same requisition, but have a different Direct Pay form for each supplier. Then attach a list or spreadsheet to show the name, address, dates of service, and amount.


Education Stipends

  • Stipend payments currently being paid via prepaid card need to move to Mountaineer Marketplace as soon as possible. All payments must be moved to Mountaineer Marketplace by June 2023. As a reminder, the only stipends that should come through PCPS are for educational stipends to non-WVU students. Please see Tax Services’ website for more information.
  • New stipend programs need to go through Mountaineer Marketplace – registering the supplier and submitting on the direct pay form. This should begin immediately for any new stipends.
    • Supplier will then be sent an email invitation to submit their W9 online.

Access for loading stipends and cooperative teacher payments in Prepaid Technologies will go away completely at the end of June 2023.
