Discounts are 'taking off' with MyTravel: Southwest is now a preferred airline for WVU

As part of our continuing efforts to enhance the MyTravel platform and secure better rates for faculty and staff who travel on behalf of WVU, the Procurement, Contracting and Payment Services team is excited to announce Southwest Airlines is now a preferred carrier for WVU.

Through the partnership, faculty and staff who travel on behalf of the University can enjoy discounts (typically 2- 5 percent) to and from all Southwest destinations toward the following fare classes when booking through MyTravel or with a World Travel agent:

New Travel Rule and Manual

The new BOG Travel Rule and University Travel Manual are effective as of today, October 1, 2019.  Please visit the PCPS website for a copy of the new manual.  As a reminder, the new BOG rule and University Manual strongly encourage the use of MyTravel, the University’s travel booking tool, or booking directly with the University’s travel management company, World Travel.  For information on MyTravel and the benefits of using the system, please visit MyTravel.

User Group Meeting September 19 2019

The next PCPS User Group Meeting will be held on September 19, 2019.  As usual, there will be two different meeting times/locations that you can choose from.  The primary focus of this meeting will be the upcoming changes to the BOG Travel Rule/University Travel Manual, use of MyTravel, and other changes to the University Travel Program.

Changes to Payment Method for Reimbursements to WVU Employees

Starting Tuesday, September 3rd, WVU employees will receive reimbursements via direct deposit regardless of whether the payment is funded by WVU or the WVU Research Corporation.    A new process has been implemented utilizing the employee’s primary bank account information established in the payroll system to automatically send an ACH to the employee’s account when being reimbursed by the WVU Research Corporation. WVU employees have been receiving reimbursements via ACH to their primary bank account listed in their payroll record when being paid with WVU funds since the fall of 2017. This change now provides a consistent payment method for both WVU and WVURC funded payments. That means WVURC ACH registration for WVU employees will no longer be required.  When a payment is deposited into an individual’s bank account, a remittance advice will be sent to the individual’s WVU email address, notifying them of the payment. 

Note:  For those WVU employees already registered to receive ACH payments using a bank account different from the account set up for payroll purposes, the banking information will automatically be changed to the primary bank account on record in Payroll.
